Updating Information in the
Faculty Publications Database

This database is updated periodically with downloaded information from Ovid/MEDLINE. These MEDLINE citations are based on an extensive search by faculty name. Each faculty member's name is searched with the proper initial or initials. If MEDLINE or the publisher spell the name wrong or leave off an initial, it is not retrieved. "National Jewish Health" as an institutional source (IN) is also searched and may retrieve papers by non-faculty members. The Ovid/MEDLINE that we use can be two weeks to six months behind the actual publication of the journal.

To have an efficient system of updating, the library needs to limit this database to ONLY articles that have been indexed in MEDLINE that can be retrieved by the library staff with minimal input from the faculty.

To update your list:

  1. Check the retrieved list against your CV.
  2. If you see that an article of yours is not in the database,
    1. Search Ovid/MEDLINE or PubMed and retrieve the article's unique identifying number, a UI or PMID.
    2. Send this number and the citation to the library by e-mail and we will include your paper.
  3. If you see an article in the database that is not yours,
    1. Copy the database citation including the UI and
    2. E-mail it to the library with a comment that it is not yours.
  4. Do not send us a list or CV to compare to the database list.
  5. Send Corrections to Rosalind Dudden .

Exceptions:

  • We will accept UI numbers from PsycInfo, but we do not actively search that database. We also do not search non-indexed journals.
  • If you can supply the library staff with an EndNote library of the articles you published that are not in MEDLINE, you can e-mail this EndNote library, from a PC or Mac, to the library. Make a special file with only those articles you did not find in the Faculty Publications database when comparing it to your CV.

Again no books, book chapters or other non-journal article publications.
